Privacy Policy
Effective Date: October 17, 2025
1. Introduction
Welcome to PIPPS Appointment ("the Service"), a service provided by PIPPS Smart Apps, a brand of J.C. Epiphany ("we," "us," or "our"). We are committed to protecting your privacy and handling your data in an open and transparent manner.
This Privacy Policy explains how we collect, use, share, and protect your information when you use our web-based application and related services. By accessing or using our Service, you agree to the terms of this Privacy Policy.
Our Core Privacy Commitment: We will never sell your personal information. Your appointment data, client lists, and schedule details are your confidential business information, and we treat it as such.
2. Information We Collect
We collect information in a few different ways to provide and improve our Service.
2.1. Information You Provide Directly
- Account Information: When you register for an account, we collect your email address and a password. Your password is automatically hashed and salted, meaning we never store it in a readable format.
- Scheduling Data: We collect and store all the data you generate to use the service, including host names, schedule details (days, times), client names for appointments, and reasons for schedule exceptions.
- Communications: If you contact us for support or provide feedback, we will collect your name, email address, and the contents of your message to assist you.
2.2. Information from Paid Subscriptions (Pro Plan)
- Payment Information: When you subscribe to a paid plan, your payment is processed by a third-party payment processor (e.g., Shopify Payments, Stripe). We do not collect, receive, or store your full credit card information. We only receive a transaction confirmation and necessary subscriber details to manage your account status.
2.3. Information We Collect Automatically
- Log and Usage Data: Like most web services, our servers automatically record information when you use the Service. This data may include your IP address, browser type and settings, operating system, the date and time of your request, and actions you take within the application (such as features used). This information is used for security, analytics, and service improvement.
- Cookies: We use essential cookies to keep you logged in and to maintain your session. These are strictly necessary for the Service to function. We do not use third-party advertising or tracking cookies.
3. How We Use Your Information
We use the information we collect for the following purposes:
- To Provide and Maintain the Service: To create and manage your account, store your schedules and appointments, and enable the core functionality of the application.
- For Security and Protection: To monitor for and prevent fraudulent or malicious activity, such as analyzing login attempts to implement rate-limiting and protect your account from unauthorized access.
- To Improve Our Service: To analyze anonymized and aggregated usage patterns to understand which features are most useful, to fix bugs, and to develop new features.
- To Communicate With You: To send essential service-related emails, such as account verification, password resets, security notices, and billing information. We will not send you marketing emails without your explicit consent.
- To Fulfill Legal Obligations: To comply with applicable laws, legal processes, or governmental requests.
4. How We Share Your Information
We do not sell or rent your personal information. We limit sharing of your data as follows:
- Service Providers: We may share information with trusted third-party vendors who perform services on our behalf, such as cloud hosting (for servers and databases) and payment processing. These providers are contractually bound to protect your data and are prohibited from using it for any other purpose.
- Legal Requirements: We may disclose your information if we believe in good faith that it is required by law, such as in response to a subpoena, court order, or other legal process.
- Business Transfers: In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our website of any change in ownership or use of your personal information.
5. Data Security
We implement robust technical and administrative security measures to protect your information, including:
- Encryption in Transit: All data transferred between you and our servers is encrypted using Transport Layer Security (TLS).
- Encryption at Rest: Your sensitive data stored in our databases is encrypted.
- Password Security: We use strong, one-way hashing algorithms (e.g., bcrypt) to secure your password.
- Access Controls: We strictly limit internal access to your data to authorized personnel who require it to perform their job duties (e.g., providing customer support).
While we take all reasonable precautions, no method of transmission or storage is 100% secure. Therefore, we cannot guarantee absolute security.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with the Service. If you choose to delete your account, we will permanently delete your information from our production systems within a reasonable period, typically 30 days. Anonymized usage data may be retained for analytical purposes.
7. Your Data Rights and Choices
You have certain rights regarding the personal information we hold about you. These include:
- Right to Access: You have the right to access your personal information at any time through your account.
- Right to Rectification: You can modify your account information, such as your email address, at any time.
- Right to Erasure (Deletion): You can request the permanent deletion of your account and all associated data by contacting our support team.

8. Children's Privacy
Our Service is not intended for or directed at individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will take steps to delete it promptly.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through a notice within the Service prior to the change becoming effective. We encourage you to review this policy periodically.
